What is DocNet?

DocNet is a web-based document imaging system which allows users to file and access valued information from anywhere at anytime. This system is tightly integrated with Konica Minolta digital Multi-functional Products (MFP) and explore the functionality of our MFPs to a wider extent to serve as a high speed and high production A3 document scanner.

What is the minimum system requirement to install this DocNet system?

A computer should be prepared dedicated to serve as a DocNet Server. The recommended hardware requirements are as follows:
  • Intel® Pentium®4 2 GHz CPU
  • 1GB RAM
  • 80GB Hard Disk
  • 10/100M bps TCP/IP Network
  • Internet Connection

What is the minimum requirement for clients' PC to access this DocNet?

To have a faster and satisfactory result in managing documents in the DocNet Server, the client PC is recommended to meet the following requirements:
  • Intel® Pentium® III 500MHz CPU
  • 128MB RAM
  • TCP/IP Network
  • Microsoft® Internet Explorer® 6.0 or above
  • Adobe® Acrobat® Reader 5.0 (free download from Adobe)
  • Adobe® SVG Viewer 3.0 (free download from Adobe)

How many concurrent users are allowed to access the DocNet?

Basically, there is no limitation to the number of concurrent users signing in the DocNet server for access. However, due to the constraint of the performance of the hardware, the time taken in communicating with the DocNet server may vary if too many users are accessing the DocNet server simultaneously. For an enterprise scale of system, it is advised to upgrade the system to incorporate multiple DocNet servers for load balancing.

Can I access the DocNet when I am out of office?

Once the DocNet server is linked to the Internet, anyone who is given the access right can log in the DocNet Server to perform all functions that have been granted to this specific user, such as filing, retrieve, uploading, modify index etc... In other words, it is the same situation as if you are accessing the DocNet in your office LAN environment.

How images and data are recorded into the DocNet?

For documents in paper format, they will be scanned by using the Konica Minolta MFPs which can support scan-to-ftp, once scanned, these images will be queued in the file list which is designated for a specific application for later on filing with index data; For other files, such as MS Excel, Words, Powerpoint, or simply speaking, any files originally stored in your PC/Mac in any format, they can be uploaded to the file list for filing. Therefore, this system not only handles document images, but also, other files such as color digital camera picture, movie and audio files for building a comprehensive set of database.

How to retrieve the information?

Based on the index data, you can perform any combination of complete or partial searching in the data so that the system returns with a result hitlist which matches with your searching criteria. By clicking the list, the images will be displayed for viewing, printing or email to other recipients. Depending on the user privilege, you can also modify the data to reflect any change in the value of the data fields as well.

If you have no idea of what to search for, you can perform a wildcard search for everything, then, a complete list of all records in the database will be shown.

Is there any limitation in the creation of filing structure?

Since the database engine being used is the industrial standard SQL, therefore, you are free to customize as many applications as you may think necessary. Of course, the number of index fields to be created for an application to identify your document is not restricted, you can build an application up to tens or hundreds (very impractical) index fields, you can customize many applications which can purposely serve for different filing disciplines in your organization.

Is there any method of backup and archive available for securing the image and database from DocNet?

You can make use of the "Backup" utility to backup both images and index data into any removable media for storage. In addition, there is an optional "Archive" utility which can extract those images/data files from your DocNet Server based on the searching criteria and have them archived into other removable media such as CDROM or DVD, making these images/data file in an off-line status. Afterwards, whenever these images/data files are retrieval, the system will prompt the user to insert that specific media for retrieval accordingly.

Once the images/data files from DocNet Server are archived, it will free up much space from the memory of the server, and provides you a good housekeeping management idea and practice to your data which have been stored for years but with less and less frequency in retrieving them.

Can I restrict the access of my own documents?

Yes. Through the administrator, different rights can be granted to different users, which limits and controls the access of documents in database. You can assign different rights to different users/groups. If you need to maintain the confidentiality of your document, DocNet offers an optional document level security to limit access to specific document.

Is it necessary to install any other applications in my PC for using DocNet?

No. As long as your PC has Microsoft Internet Explorer 5.5 (6.0 suggested) or above and the SVG viewer and Acrobat reader from Adobe, DocNet can be used since it is a web-based system.
